FillMyCareHome.com ("we," "us," or "our") operates the website and services at fillmycarehome.com (the "Service"). This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use the Service. By using the Service, you consent to the practices described in this policy. If you do not agree, please do not use the Service.
1. Information We Collect
We collect information you provide and information we obtain automatically.
Information you provide
- Contact and account-related: Email address, zip code, and (where applicable) name and phone number when you check zip eligibility, post a vacancy, or create an admin account.
- Vacancy and facility data: Facility identifier, room type, base price, services offered, and (where we display or send it) facility name, address, and admin contact details so we can broadcast your vacancy to referral sources.
- Payment: Payment is processed by Stripe. We do not store your full card number; we receive and store identifiers such as Stripe session or customer IDs and your email for order and broadcast fulfillment.
- Admin use: If you use staff or admin features, we collect login credentials and session data (e.g., via our authentication provider).
Information we obtain automatically
- Usage and technical data: IP address, browser type, device information, and general usage data (e.g., pages visited) to operate the Service, prevent abuse, and improve our systems.
- Rate limiting and security: We may use your IP address to enforce rate limits and protect against fraud or abuse.
2. How We Use Your Information
We use the information we collect to:
- Provide, operate, and maintain the Service (e.g., verify zip coverage, create and send vacancy broadcasts, process payments).
- Send transactional communications (e.g., order confirmation, delivery statistics) and, where applicable, service-related emails.
- Fulfill broadcasts by sharing your vacancy and facility contact details with referral sources in your area via email (and text where available).
- Authenticate admin users and enforce access controls.
- Prevent fraud, abuse, and security incidents (e.g., rate limiting, monitoring).
- Comply with legal obligations and protect our rights.
- Improve the Service and user experience (e.g., analytics on an aggregated or anonymized basis where we use such tools).
We do not sell your personal information. We do not use your contact information for marketing or promotional emails unrelated to the Service unless you have opted in.
3. How We Share Your Information
We may share your information in the following circumstances:
- Service providers: We use third-party services that process data on our behalf:
- Stripe – payment processing; see Stripe's Privacy Policy.
- Supabase – database and authentication; data may be stored in the United States or other regions where Supabase operates.
- Resend – transactional email delivery; see Resend's privacy practices for how they handle email data.
- Hosting (e.g., Netlify) – to serve the website and API.
- Referral sources: When you pay for a broadcast, we send your vacancy details (e.g., facility name, location, room type, rate, services, and contact information you provide) to referral sources in your market so they can contact you. This is a core function of the Service.
- Legal and safety: We may disclose information if required by law, court order, or government request, or to protect the rights, property, or safety of us, our users, or the public.
- Business transfers: In the event of a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction, subject to the same privacy commitments.
4. Cookies and Similar Technologies
We use cookies and similar technologies where necessary to operate the Service. For example, we use session and authentication cookies to keep you logged in when you use admin features. We do not use third-party advertising or tracking cookies for cross-site advertising. You can control cookies through your browser settings; some features (e.g., staying logged in) may not work if you disable cookies.
5. Data Retention
We retain your information for as long as needed to provide the Service, process payments, comply with legal and tax obligations, and resolve disputes. For example, we retain vacancy and broadcast records, order data, and account information for periods consistent with our business and legal requirements. You may request deletion of personal data as described in the "Your Rights" section below; we will honor such requests where required by law and where feasible.
6. Security
We use reasonable technical and organizational measures to protect your information against unauthorized access, alteration, disclosure, or destruction. This includes secure connections (HTTPS), access controls, and reliance on reputable service providers. No method of transmission or storage is 100% secure; we cannot guarantee absolute security.
7. Your Rights
Depending on where you live, you may have the following rights:
- Access: Request a copy of the personal information we hold about you.
- Correction: Request correction of inaccurate or incomplete information.
- Deletion: Request deletion of your personal information, subject to legal and operational constraints.
- Opt-out of sale: We do not sell personal information; if that changes, we will update this policy and provide a way to opt out where required (e.g., under the CCPA).
- Non-discrimination: We will not discriminate against you for exercising your privacy rights where prohibited by law (e.g., under the CCPA).
To exercise these rights, please contact us using the details in the "Contact" section. We may need to verify your identity. If you are in the European Economic Area or the UK, you may also have the right to restrict processing, data portability, and to lodge a complaint with a supervisory authority.
8. California Residents (CCPA / CPRA)
If you are a California resident, the California Consumer Privacy Act (CCPA) as amended by the CPRA may afford you additional rights: right to know what personal information we collect and how it is used and shared; right to delete; right to correct; right to opt out of the "sale" or "sharing" of personal information (we do not sell; we share vacancy and contact details with referral sources as part of the service you request); and right to non-discrimination. To submit a request, contact us as described below. We will not discriminate against you for exercising your rights.
9. Children's Privacy
The Service is not directed to individuals under 18. We do not knowingly collect personal information from children under 18. If you become aware that a child has provided us with personal information, please contact us and we will take steps to delete it.
10. International Users
The Service is operated from the United States. If you access the Service from outside the United States, your information may be transferred to, stored, and processed in the United States or other countries where our service providers operate. By using the Service, you consent to such transfer and processing. We take steps to ensure that transfers comply with applicable law where required.
11. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. We will post the revised policy on this page and update the "Last updated" date. Material changes may be communicated by email or a notice on the Service where appropriate. Continued use of the Service after changes constitutes acceptance of the updated policy.
